The University of Texas at Austin's Department of Psychiatry is looking to fill an Administrative Associate position to support the operational and administrative functions of the Child and Adolescent Behavioral Health and Texas Child Mental Health programs. This role is crucial for ensuring the smooth functioning of program operations, managing communication, and serving as a key point of contact, thereby enabling senior staff to focus on strategic priorities.

Requirements

  • One year of full-time applicable experience may substitute for each thirty semester hours of college credit earned, with a minimum of one year of experience required
  • Excellent written communication skills
  • Ability to maintain reliable and punctual attendance

Responsibilities

  • Coordinate, perform, and monitor various administrative functions including payment requests, invoice processing, travel reimbursements, contract submissions, calendar management, and HR documentation.
  • Assist with building and maintaining project trackers, reference sheets, and project management software related to contracts, hiring, inventory, and performance schedules.
  • Maintain operational efficiency by updating FAQs, dashboards, workflows, and instructions for staff and student onboarding, training, and off-boarding processes.
  • Organize and keep records such as organizational charts, job postings, resumes, and other relevant documentation.
  • Support policy and process drafting, updates, and documentation across multiple teams and systems, ensuring compliance with university and department policies.
  • Collaborate with internal teams and external partners to manage hardware, software, office supplies, furniture, and access to facilities and equipment.
  • Assist in planning and coordinating meetings, events, staff celebrations, and hybrid meetings, including logistics, scheduling, and communication.

Other

  • Bachelor's degree and one year of experience at the Administrative Assistant level, or High school diploma or GED with at least five years of relevant clerical experience, including one year at the Administrative Assistant level
  • Relevant education and experience may be substituted as appropriate.
  • Participate in staff meetings and professional development activities, contributing to a collaborative team environment.
  • Perform other related duties as assigned to support departmental goals and initiatives.
