ServiceNow is seeking an experienced Executive Assistant to support its senior leadership team, aiming to ensure smooth day-to-day operations, facilitate communication, and support organizational goals in a fast-paced, dynamic environment.
Requirements
- Experience in leveraging or critically analyzing the integration of AI into work processes and decision-making
- Proficiency in Microsoft Word, Outlook, PowerPoint, Zoom, Concur, BOX, and JV20
- Exceptional organizational and multitasking skills with the ability to prioritize effectively
- Ability to adapt quickly to changing priorities and handle multiple requests simultaneously
- Experience coordinating complex travel arrangements, expense reports, and onboarding processes
- Technical proficiency and comfort with new tools and workflows
Responsibilities
- Coordinate and manage complex calendars for senior leaders, including scheduling internal and external meetings, briefings, and events
- Prepare agendas, resumes, and relevant materials ahead of meetings and interviews, ensuring clarity of purpose and context
- Proactively resolve scheduling conflicts and prioritize requests to optimize time management
- Assist with meeting logistics, including note-taking, food arrangements, and technical support
- Work closely with the recruiting team to facilitate interview scheduling, candidate support, and onboarding
- Handle all travel arrangements domestically and internationally, including flights, hotels, and transportation
- Manage expense reports and reimbursements efficiently and accurately
Other
- Minimum of 5+ years of experience as an administrative assistant or executive assistant
- Strong interpersonal and communication skills across all levels of the organization
- High level of confidentiality, discretion, and judgment
- Proactive attitude with a “one step ahead” work ethic
- Desire to grow professionally and take ownership of projects
