The Microelectronics Research Center (MRCF) core facility at UT Austin needs a Financial Administrative Associate to support its operational, financial, and administrative functions, ensuring the smooth execution of procurement, billing, inventory management, and user support processes to enable the facility's mission.

Requirements

  • At least 3 years of financial experience including reporting, tracking, invoicing, and reconciliation of accounts.
  • Familiarity with the University’s financial systems, policies, and procedures.

Responsibilities

  • Manages procurement processes, including equipment and materials for cleanroom and lab use.
  • Communicates with vendors and stakeholders, processes purchase orders (UT Market, Point Plus, etc.) and payment vouchers, maintains appropriate documentation, and tracks expenses.
  • Maintains and manages inventory processes and annual equipment certification.
  • Identifies new equipment and coordinates documentation with inventory contacts for tagging and reporting.
  • Proactively manages the billing of monthly user charges, including processing deposits from external users.
  • Oversees Procard management, including compiling receipts, updating Procard logs, and processing vouchers.
  • Processes travel authorizations, travel reimbursements, e-ship global and entertainment vouchers.

Other

  • Bachelor’s degree and at least 3 years of administrative experience or a High School Diploma or GED plus at least 7 years of administrative experience.
  • Demonstrated strong organizational, communication, and problem-solving skills.
  • Ability to work independently, prioritize tasks, and proactively identify areas for improvement.
  • Provides professional, friendly front-office support for the MRC core facility including answering incoming emails, phone calls and assisting facility users.
  • Provides a general overview of the facility services and operational processes to new staff as well as potential facility users.
