The Community Engaged Learning (CEL) department needs administrative support for its various initiatives, including scheduling, coordinating events, managing supplies, and maintaining databases, to ensure smooth operation and effective community engagement.

Requirements

  • Data Management: Ability to gather, manage, and report large amounts of data accurately using electronic systems, ensuring all information is correct
  • Required software skills: Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint

Responsibilities

  • Posting, managing, and promoting the events on EVMSEngage (GivePulse), send invites and follow-ups, communicate with registrants, attendings/nurses and CEL office in a timely manner.
  • Manage, track and order supplies and settle invoices via AP
  • Assist the CEL team in equipment and asset management (like vehicles and healthcare equipment), manage biowaste and trash disposal protocols before and after healthfairs and at the CEL prep site
  • Organize and inventory CEL initiative shelves as needed
  • Maintains and updates the CEL general or initiative specific REDCap database for participant screening and longitudinal follow-up
  • Maintain and analyze outreach data for all CEL activities for scholarly publications and assist in writing scholarly articles for publication

Other

  • Fostering positive and collaborative relationships with community residents, local nonprofit organizations, faith-based organizations, businesses, and student organizations to facilitate healthfair and health screening sites for the CEL department and all its initiatives
  • Attending the events and assisting with onsite set-up and take-down
  • Conducting training for students and volunteers on program/stakeholder/initiative requirements as well as coordinating and executing key community engagement events, i.e. screening events, health fairs, stakeholder engagement activities, service days, and community volunteer recognition events for CEL
  • Strong Written Communication and Attention to Detail: Proficiency in composing and editing communication with internal and external stakeholders
  • Stakeholder Collaboration and Interpersonal Skills: Skilled in working with diverse groups, including students, faculty, and administration, to collect feedback and ensure clear communication of updates and processes
  • Time Management and Organizational Skills: Competence in managing multiple tasks, meeting deadlines, and keeping stakeholders informed of progress throughout the process
  • Problem-Solving and Process Improvement Skills: Ability to identify opportunities for improving clinical year processes, offering suggestions, and notifying of all concern
